    Once users are assigned to the desired extension numbers, either the administrator or the user can customise the features of the extension, including:

    Extension Features

    All extensions come with a number of advanced features. This section of the help guide explains those features and how to configure them.

    - Click the extensions option in the left navigation bar.

    - Select the extension you want to configure.

    - Select block Caller ID, Do not Display this extension in the Directory, and block International Calling settings.

    Never Miss a Call

    This feature allows users to ensure that no matter where they are callers can always reach them.

    Select one of the following options:

  • Send calls to my voicemail: Sends calls to voicemail after a certain time. Select the duration from the drop-down menu.


  • Enable call forwarding: Forwards incoming calls to a different number. Select an extension from the drop-down where calls will be sent. To forward calls to an outside number, select "Add Personal Number" from the drop-down and enter the number.


  • Enable Follow Me: Directs incoming calls to ring sequentially to users/phones in the PBX as well as phones/phone numbers outside of the system.

    - Select where incoming calls to this extension should ring first.

    - Select the duration that the calls should ring at that location.

    - To add additional extensions or phone numbers, click the Add a follow Me icon to the right of ring time.

    - Select which voicemail box the calls should eventually be forwarded to.

  • Enable simultaneous ring: Allows incoming calls to ring simultaneously to users/phones in the PBX as well as phones/phone numbers outside of the system simultaneously.

    - Select where you would like incoming calls to ring.

    - To add more options, click the Add a simultaneous Ring location.

    - Select the duration of the call before it is sent to voicemail.


    Voicemail PIN and greetings

  • Select the Voicemail Pin - This is the Pin that is used for checking voicemail over the phone.

  • Set up Voicemail to email - If you enable voicemail to email, all voicemails will be sent to the desired email address with the voicemail attached as a .wav file.


  • Record or Upload Voicemail Greetings
    Name: This is the recording that will play when people search the company directory (accessible through the company Auto Attendant).

    Unavailable Greeting: Plays when the user does not answer and the caller is sent to voicemail.

    Busy Greeting: Plays when the user is on the phone or Do not Disturb is enabled (this is a setting on the phone) and the caller is sent to voicemail.

    Vacation Greeting: If selected, the Vacation Greeting will override the Unavailable and Busy Greetings.

    To Record a Greeting: Click the red record button, enter a ten digit phone number, and the system will call you. Follow the prompts to record, review, and save the greeting. Do not forget to save in the web browser to apply the change.

    Device Profile
    Used for provisioning your phone.

    1. From the Provisioning Model dropdown, select the phone model to use with this extension.
    2. Enter the MAC address of the phone. The MAC address can be found on the back side of the phone, it is 12 characters.
    3. Click the save icon on the top right or bottom right of the screen.
